

TERMS & CONDITIONS
RELATING TO THEATREWORKS SERVICES AND ALL ASSOCIATED ACTIVITIES.
IF YOU HAVE ANY QUERIES, PLEASE RESPOND BY EMAIL – HELLO@THEATREWORKSDEAL.COM WITHIN 3 WORKING DAYS OF READING THE TERMS AND CONDITIONS. WITH NO-RESPONSE WE WILL ASSUME YOUR ACCEPTANCE OF ALL OF THE TERMS AND CONDITIONS.
1. FILM AND PHOTOGRAPHY POLICY
1:1 PHOTOGRAPHS OF STUDENTS MAY BE TAKEN DURING SESSIONS FOR REPORTING, MARKETING AND PUBLICITY PURPOSES. STUDENTS MIGHT BE NAMED, WHERE APPROPRIATE.
1:2 PRESS PHOTOGRAPHS, VIDEO RECORDINGS AND/OR PUBLICATIONS RELATING TO THEATREWORKS, MAY INCLUDE ALL STUDENTS.
1:3 FOR THE PURPOSES OF REPORTING, PROMOTING AND MARKETING/THEATREWORKS, STAFF MEMBERS (ALL OF WHOM ARE DBS CHECKED) MAY VIDEO STUDENTS.
1:4 IMAGES AND/OR VIDEOS OF STUDENTS WILL BE USED ON SOCIAL MEDIA SITES, FOR THE PURPOSES OF PROMOTING THEATREWORKS. STUDENTS MIGHT BE NAMED WITH FORENAMES ONLY, WHERE APPROPRIATE, RARELY.
1:5 IF YOU DO NOT CONSENT TO VIDEOS OR PHOTOS OF YOUR CHILD BEING USED IN THIS WAY, PLEASE LET US KNOW SEPARATELY TO THIS FORM. IT WILL NOT AFFECT YOUR CHILD SIGNING UP TO BE A MEMBER, AND WE WILL JUST MAKE SURE YOUR CHILD'S IMAGE DOES NOT APPEAR ON MARKETING/ PUBLIC POSTS AND IF THEY APPEAR ACCIDENTALLY ON A GROUP PHOTO/VIDEO, IT WILL BE DELETED FROM ALL STAFF DEVICES.
2. PAYMENT AND REFUND POLICY
2:1 All fees must be paid in full by the due date stated on your invoice in order to secure your child’s place. If fees are not received, or no prior arrangements are agreed with TheatreWorks, your place may be offered to a full-paying student once a waiting list is in operation. Payment methods include cash, cheque, or online bank transfer.
2:2 We do not offer refunds.
As we are now operating on a membership basis, fees are charged to secure your child’s place within the class, regardless of attendance. This ensures we can maintain consistent staffing, class sizes, and resources for every student.
2:3 Any fees outstanding one week after the due date will incur a £5 administration charge.
2:4 If fees remain unpaid after one month, and no communication has been received, your child will not be permitted to return to TheatreWorks until the balance is cleared.
2:5 For new students, the first month may be paid on a weekly “pay as you go” basis. After this initial period, monthly invoices will be issued in advance and payment will be required before the first class of the month.
2:6 The full monthly amount is payable regardless of attendance at classes. Membership fees are not transferable or carried forward to future months.
2:7 If we hold rehearsals during school holidays, and your child cannot make it you will NOT be charged.
3. CHILD PROTECTION & SAFEGUARDING POLICY
3:1 STAFF MEMBERS MUST SIGN IN AND OUT AT THE BEGINNING AND THE END OF EACH SESSION THEY ATTEND. ALL STAFF HAVE A RELEVANT, UP TO DATE DBS CHECK.
3:2 NO UNAUTHORIZED ADULTS ARE PERMITTED TO BE IN THE ROOM WITH THE STUDENTS AT ANY TIME. IF, FOR ANY REASON PARENTS/CARERS NEED TO COLLECT THEIR CHILD(REN) EARLY, OR IF ANY OTHER ADULT OTHER THAN THE TWO EMERGENCY CONTACTS LISTED ON A CHILDS STUDENT INFO FORM WILL REQUIRE PRIOR NOTIFICATION.
3:3 THEATREWORKS OFFICIAL VISITORS WILL SIGN-IN AND OUT AND WILL BE ACCOMPANIED BY A STAFF MEMBER AT ALL TIMES, UNTIL THE RELEVANT DBS CHECKS HAVE BEEN COMPLETED, WHERE REQUIRED.
3:4 STUDENTS ARE EXPECTED TO BE ON TIME, STAFF ARE HAPPY TO SUPERVISE STUDENTS, IF NEEDED, 10 MINUTES PRIOR TO THE START OF SESSION, BUT NO EARLIER. ANY EARLIER THAN THAT AND WE CANNOT OFFICIALLY BE “IN LOCO PARENTIS”. AT OUR GOLF ROAD VENUE, THERE IS ALWAYS A DBS CHECKED VOLUNTEER ON RECEPTION.
3:5 THERE ARE TOILETS THAT CAN BE USED BY STUDENTS; AGE 3-5 WILL BE ACCOMPANIED TO THE DOOR BY A STAFF MEMBER. ALL OTHER STUDENTS MAY GO INDEPENDENTLY.
3:6 ALL INJURIES/ SUDDEN ILLNESSES WILL BE RECORDED IN OUR INCIDENT BOOK. IN CASE OF EMERGENCY, THEATREWORKS STAFF CAN GIVE CONSENT ON BEHALF OF PARENTS/CARERS, FOR ANAESTHETIC ADMINISTRATION OR ANY OTHER EMERGENCY TREATMENT TO BE GIVEN ON THE ADVICE OF A QUALIFIED PRACTITIONER.
3:7 EACH CHILD IS REQUIRED TO HAVE A THEATREWORKS T-SHIRT / HOODIE. THEY ARE ENCOURAGED TO WEAR THESE AS MUCH AS POSSIBLE FOR CLASSES, AS THEY DO TAKE PLACE IN A PUBLIC BUILDING. THEY ARE MANDATORY DURING ANY TIME WE ARE IN REHEARSAL OR VISITING ANY OTHER VENUE OTHER THAN OUR REGULAR REHEARSAL ROOMS.
3:8 AND ARE PART OF A BUILDING WHERE THERE IS ACCESS TO THE PUBLIC. OUR INDIVIDUAL ROOMS ARE STRICTLY PROHIBITED TO THE PUBLIC, REGULARLY PATROLLED BY ONSITE FACILITIES MANAGERS AND WILL ALWAYS HAVE A STAFF MEMBER IN THEM WHILE CHILDREN ARE ON SITE.

Safeguarding Concerns and Disclosures
Your child’s safety and wellbeing is our top priority. If staff have any concern about a child’s welfare, this will be reported straight away to our Designated Safeguarding Lead (DSL). Luke Breen.
If a child shares something that worries them, we will always:
listen carefully and reassure them,
never promise to keep secrets,
pass the concern to the DSL so the child can be kept safe.
The DSL will decide the best next steps, which may include speaking to parents/carers or, if needed, contacting the local safeguarding team.
All safeguarding records are kept secure and confidential.
